What we collect
When you fill in a contact form, use the meeting tool, use an enabled chat assistant, or email us directly, we collect the information you choose to share, such as your name, work email, company, offer, target profile, geography and message. We use it to respond to your inquiry and, if you become a client, to operate your outbound program.
How we use it
Your contact details are used to reply to you and, where relevant, to onboard you as a client. For clients, we process prospect data (names, business emails, company information sourced from public databases) solely to operate outbound campaigns on your behalf. We do not use this data for any other purpose.
We do not sell your data
We do not sell, rent, or share your personal information with third parties for their marketing purposes. Prospect data handled for clients belongs to the client and is deleted or returned at the end of the engagement.
Third-party tools
We use HubSpot for site forms, meeting scheduling and site interaction tooling. Inquiry fields are sent to the configured HubSpot form catcher so we can record, route and respond to the request; this is for request operations, not third-party marketing. If the optional AI assistant is enabled, its conversation input is processed by OpenAI only to generate the requested response. We also use standard B2B SaaS tools such as email infrastructure, CRM and enrichment databases for client work. These providers process data under their own privacy policies.
Optional visit measurement
We use Google Analytics only if you allow optional measurement. We measure page visits, accepted form requests and contact-link clicks; we do not send form answers, email addresses or chat text to Analytics. Measurement involves requests to Google and analytics cookies; your IP address may be processed by Google during these requests. Advertising personalization and Google signals are not enabled. You can reject measurement or withdraw permission using measurement settings in the footer. Withdrawal stops future measurement and deletes accessible _ga cookies on this site; it does not delete data already sent. Your choice is stored in your browser; when storage is unavailable, it applies only to the current page.
Retention
We retain site inquiries, form submissions and meeting records only for as long as needed to respond, manage the relationship, meet applicable recordkeeping requirements or resolve a request. Chat input is used to generate the requested response. We review retention using the inquiry status, any client relationship, the purpose of the record and applicable requirements, then delete or anonymise information when it is no longer needed. Service providers may apply their own documented retention terms.
Your rights and contact
You can request access to, correction of, or deletion of any personal data we hold about you, including a site inquiry. For any data request or to receive a full privacy policy document, email faruk@asphia.consulting. Where GDPR applies, requests are normally answered within one month, subject to applicable conditions and extensions.
